Send an Initial Assessment

An Initial Assessment is sent to an applicant before they start their apprenticeship. It allows you to collect information about their existing knowledge, skills, and experience, so that you can establish their starting point and identify anything that may need to be explored further before enrolment.


An Initial Assessment can be sent straight from the Assessments page.


Creating a new Initial Assessment


  1. Select Assessments from the top navigation bar.
  2. Select New Assessment.
  3. Enter the applicant's details:
    • First name
    • Surname
    • Email address
    • Employer (if applicable, not mandatory)
    • Select the Apprenticeship standard the applicant is being assessed against.
    • Select the Assessment you want the applicant to complete.
    • When you have entered the required information, choose either Send, Save as draft, or Cancel.

    Note: The assessments available will depend on the apprenticeship standard you have selected, and the assessments that have been made available by your training provider.


    What happens when you send the assessment?


    The applicant receives an email confirming that your organisation has invited them to complete an Initial Assessment.


    They can select Start my assessment in the email to begin.


    The applicant does not need to create an account or sign in. Their invitation link takes them directly to their assessment.


    They work through the questions and can then submit their completed assessment.


    Check the progress of an assessment


    Return to the Assessments page at any time to see the status of assessments you have created.


    An assessment may show as:


    • Draft - created but not yet sent
    • Sent - the invitation has been sent
    • Opened - the applicant has opened the assessment​
    • In Progress - the applicant has started completing it
    • Completed - the applicant has submitted their responses


    Reviewing a completed Initial Assessment


    When an assessment has been completed, open it from the Assessments page to review the applicant's responses.


    The responses provide evidence of the applicant's existing knowledge, skills and experience, and can be used to inform the next stage of the initial assessment process.


    Where appropriate, you can explore the applicant's answers further during the starting-point discussion or interview and use the evidence gathered to determine their starting point, including whether any prior learning should be recognised.
