Assessment Methods can be designed to reflect the way your organisation carries out initial assessment. Depending on the method selected, this might include an applicant questionnaire, a provider-led assessment or a combination of both.
- the instructions shown to the applicant and assessor;
- the questions the applicant will complete;
- how responses are presented and scored;
- which Knowledge, Skills and Behaviours (KSBs) each question assesses;
- which KSBs should be explored further by the provider; and
- guidance for the assessor completing the provider-led element of the assessment.
Context Questions help you understand the applicant's background before considering their existing competence against individual KSBs.
They are free-text questions and can be used to gather information about areas such as the applicant's:
- current role and responsibilities;
- previous employment or experience;
- relevant qualifications and training; and
- exposure to activities related to the apprenticeship.
For example:
Tell us about your current role and the responsibilities you have that are relevant to this apprenticeship.
Context Questions are not mapped against individual KSBs. Instead, they give the provider useful background information that can help inform the overall assessment and any subsequent discussion with the applicant.
Assessment Questions are used to establish the applicant's current level of knowledge, skill or experience in specific areas of the apprenticeship standard.
Each question can be mapped to one or more Primary and Supporting KSBs so that Assess can identify where the applicant may already have relevant competence and where further provider assessment may be needed.
For example:
I currently maintain accurate client records.
The applicant selects the response that best reflects their current level of experience or confidence. Their responses contribute to the initial assessment but should be considered alongside the wider evidence and, where applicable, the provider-led assessment.
From the top navigation bar, select Settings.
Within Settings, select Assessment Methods.
Select New Method to begin creating a new assessment
method
A pop-up window will appear where you can enter the initial
details for the assessment method.
Method Name
Enter a name for the assessment method.
For example:
Mortgage Adviser Hybrid V1
We recommend using a clear and recognisable name so that the
method can easily be identified later.
Apprenticeship Standard
Select the relevant Apprenticeship Standard from the
dropdown menu.Rubitek has the apprenticeship standards stored within the
platform's library, so you can select the relevant standard when creating your
assessment method.
If the apprenticeship standard you require isn't available
in the dropdown, contact Rubitek with the name of the standard you are
looking for so that it can be linked to your account.
Assessment Approach
Select the appropriate assessment approach from the
dropdown.
There are three options:
- Provider Lead Assessment
- Applicant Questionnaire
- Hybrid Approach – combines both Provider Lead Assessment and Applicant Questionnaire
Test or Demonstration
You can also indicate whether the assessment method is a Test
or Demonstration.
Select the appropriate option based on the purpose and
format of the assessment.
Once all the initial information has been completed, select Create
to create the assessment method as a draft.
Once the assessment method has been created, select it from the Assessment Methods page to open it.
Within the assessment method, you will see areas where you can add or edit information, including:
- Method Details
- Applicant Response Wording
- Questions
Use the relevant sections to provide the instructions and wording that will be shown to the applicant and, where applicable, the assessor.
The wording should clearly explain what the applicant needs to do and provide enough information for the assessment to be completed consistently.
Consider:
- What is the purpose of the assessment?
- What does the applicant need to complete?
- Are the instructions clear and easy to understand?
- Does the assessor need any additional guidance?
Context Questions
Context Questions are free-text questions used to understand the applicant's background before considering their existing competence against individual KSBs.
They can be used to gather information about:
- Their current role and responsibilities
- Previous employment or experience
- Relevant qualifications and training
- Exposure to activities related to the apprenticeship

Important: Context Questions are not mapped against individual KSBs.
Instead, they provide background information that can help the provider understand the applicant's experience and inform the wider initial assessment or any subsequent discussion.
Assessment Questions
Assessment Questions are used to establish the applicant's current level of knowledge, skill or experience in specific areas of the apprenticeship standard.
These questions allow you to assess areas of the apprenticeship where the applicant may already have relevant knowledge or experience.
For example:
I currently maintain accurate client records.
The applicant selects the response that best reflects their current level of experience or confidence.
Assessment Questions can be mapped to one or more Primary and Supporting KSBs.
This allows Assess to identify where the applicant may already have relevant competence and where further provider assessment may be required.
Consider:
- What knowledge, skill or behaviour is the question exploring?
- Which KSB or KSBs does the question relate to?
- Is the KSB a primary or supporting area for the question?
- Does the question provide an appropriate way of assessing the applicant's current level?
Only map KSBs to Assessment Questions where the question is specifically designed to assess that area.
Review this section to understand which areas of the apprenticeship standard are being assessed through the questions.
The aim is to ensure the assessment method provides an appropriate way to identify the applicant's existing knowledge, skills and behaviours.
If the questionnaire indicates that a particular KSB requires further exploration, this can be addressed through the Assess with Provider section.
The Assess with Provider section allows you to identify KSBs that should be explored further by the provider.
This is particularly useful where the applicant's questionnaire responses indicate that further discussion or assessment is needed to establish their current level of knowledge, skills or experience.
Select the relevant KSB that you want the provider to explore.
This does not mean that the applicant has failed to demonstrate the KSB. Instead, it identifies an area where the provider should carry out further assessment.
The guidance should help the assessor understand how they can establish the applicant's current level against the selected KSB.
This could include prompts such as:

Check that:
- The correct apprenticeship standard has been selected.
- The appropriate assessment approach has been selected.
- The applicant instructions are clear.
- Assessor instructions are clear where required.
- Context Questions have been used to gather relevant background information.
- Context Questions have not been mapped to KSBs.
- Assessment Questions have been mapped to the relevant Primary and Supporting KSBs.
- Questions are appropriate for assessing the applicant's existing knowledge, skills and experience.
- KSBs requiring further provider assessment have been identified.
- Appropriate Assessment Guidance has been provided for the provider-led element.
- The scoring and response options have been reviewed.
Once activated, the assessment method will be available to be used within your assessment process.
Important: Make sure the assessment method has been fully reviewed before activation, particularly the KSB mapping, scoring and provider assessment guidance.
