Generate and download the ILR

The Individualised Learner Record (ILR) is a critical data return required by the ESFA for apprenticeship funding. This article explains how to generate and download the ILR file from the platform in the correct format for submission via the Submit Learner Data portal. It also covers how to access the automatically generated funding report - available in our platform once the filing deadline has passed - which provides an instant summary of funding for the current claim period and a full forecast for your remaining provision.

Step 1: Click ILR from the left-hand menu.
Step 2: Click + Create ILR.
Step 3: Select the current Academic Year.
Step 4: Select the Period you wish to generate the ILR for.

Note: once the Academic Year and Period have been selected, text will show beneath the Period field notifying you of the submission deadline for this ILR.

Step 5: Click Generate ILR. A pop up will appear informing you that the ILR file is being generated. Depending on how much data your ILR file contains, this should take between 30 and 60 seconds to generate. Once finalised, you will receive a confirmation message.
Step 6: In the Actions column, locate the ILR file you just generated and click Download in the Actions column. This will download the ILR file in an XML format ready to submit.

Once you have generated and downloaded the ILR file, you can upload it to the Submit Learner Data portal, using the login credentials for your provider account.


Once the submission window has closed, you will notice a Funding Report becomes available in the platform - giving you an immediate overview of the funding you're claiming and a forecast for your entire delivery pipeline.
